What is required if I am scheduled to speak at the event?

We require the following from speakers: Your Presentation (PowerPoint or Word format) and Audio Visual requirements. This must be sent to TRANSATLANTIC EVENTS within a minimum of four weeks before each event.

Presentations can be sent via email, postal delivery or courier.

All presentations should last approximately 30 minutes unless indicated otherwise.

You will receive a confirmation letter from the event producer and a speaker pack letting you know the time and date of your presentation.

I'm a scheduled speaker... is it mandatory that I have to be a sponsor as well?

That's a "tricky one". Our view, indeed our policy (up until September 2006) was always "NO". We took pride in that...

Believe it or not, it is the practice of most conference companies to do just that... "charge thousands and thousands of Pounds/Dollars to speakers to speak" under the guise of sponsorship. Here at Transatlantic Events Limited, we find that to be an appalling unprofessional practice that would only damage the integrity of the events we produce.

Our view was that we would rather have conference content and a speaker faculty that is "second to none" (on every event), and not have that compromised in any shape or form just to slightly increase our profit margins... BUT...

In a perfect world, it would be a wonderful concept to hang onto ...

Sadly by NOT making sponsorship mandatory, nobody would bother to sponsor!!!... Regardless of how great our events were for business for the speakers -OR- regardless if the event was the market-leading event in a given region/country -OR- regardless of how much our delegates love the event(s) ... Some truly great events were becoming severely under-funded because we would have no sponsors, which would mean limits on marketing and promotion. With limits on marketing, it means limits on delegates. It also meant a threat to the high standards of our events. It also meant possible cancellation of long running popular events. It also meant the certain cancellation of at least 2 new projects (at the time).

Something had to change and change fast. A common ground was sought. It had to be something that would allow us to still maintain the integrity of our events (and at least cover event costs), and something that every corporate speaker could do to help and should be able to do without hesitation.

As of September 2006, we have now created and put into place the following for event speakers:

The Speaker Documentation Pack Sponsorship Package
Basically, we will insert your company's/firm's promotional bumph into the delegate doc packs. Brochure branding is NOT included with this package. Branding is reserved for the other sponsorship packages. The cost of this Sponsorship Package is £1000.00 + VAT.

This package will be mandatory for all speakers with the only exceptions being speakers who are from not-for-profit originations.

Plus, there are still other non-mandatory sponsorship packages designed to help promote your organisation. In reality, being a sponsor is such a great cost effective way of promoting your organisation at an event!

"Ladies and gentlemen... I think I'll stop there and return to my topic in a minute or so.. BUT Now let me tell you what ACME Life Insurance can do for you..."

Yes, the "name of the game" (why most speakers speak) is to generate awareness and new business. But ask any successful event speaker and they will tell you, simply, ... be the authority over the topic and you WILL generate new business. Easy! Push your product or company into a delegate's face, and you will do more harm than good... and that can be costly. Simple as that and it is a fact.

With that being said and because it has still happened too many times to mention ...

TRANSATLANTIC EVENTS LIMITED have simple House Rules: Under NO circumstances will we allow speakers to present pure/total commercial presentations solely designed to sell their product(s), goods or services to the delegates (and completely abandoning their assigned talk topic). Delegates have paid to attend the event and have a vested interest in the topics provided on the day. Delegates are not there to be "sold to" during speaker presentations,  by the speaker. We offer a full range of exhibition & sponsorship packages, which will enable you to sell/display & generate awareness for your product(s), goods or services to the delegates apart from the academic setting of the conference. If a speaker decides to deviate from their scheduled talk topic, and engages in what appears to be a pure/total commercial presentation, the speaker will be immediately interrupted, all audio-visual equipment turned off and the session concluded. The event Chairperson, on the day, will act with full authority on this matter, and their decision is final. The speaker will then be asked to leave the venue for the duration of the event.

In the event that a speaker (who is asked to leave the venue) also participates as an exhibitor with an exhibition stand/display equipment: all stand staff relating to the said exhibition/company will also be asked to leave the venue for the duration of the event, and will only be allowed to return to the venue to collect their display material once the last delegate has left the venue at the end of the event. Any money paid to Transatlantic Events Limited (the organisers) for exhibiting will NOT be refunded. If there is any doubt if your presentation might viewed as a commercial presentation, please consult us immediately to avoid any possible and potential conflict.

Please note: Delegates and/or Speakers who are NOT official sponsors of an event, but attend an event with intention of promoting their goods or services without the permission and/or knowledge of Transatlantic Events Limited, do so with the full acknowledgement & acceptance of the following:

Delegates and/or Speakers who engage in this unauthorized promotion do so with the full understanding that their company will be charged & invoiced & held accountable for the full "Lead Sponsor" rate (payable to Transatlantic Events Limited), but agree to waive all of the benefits outlined in the Lead Sponsorship package.

Examples of unauthorized promotion:
Creating an impromptu Table Top Exhibition, with corporate information on top.

Distributing Corporate Information to Delegates without the permission of the Organiser.

Organising a secondary event for the event Delegates/Speakers, without the permission of the Organiser.

Promoting a competitive event to Delegates & Speakers, without the permission of the Organiser. This would include impromptu announcements during Panel discussions and/or "Speaker Q & A".

These rules has be set up to ensure the integrity of the every event produced by Transatlantic Event Limited, and is part of our guarantee to delegates of the quality of event content.

Where is the conference being held and how do I get there?

What is a Champagne Round Table?

This is an informal group discussion whereby you will be able to exchange your ideas with your industry peers. And of course Champagne is served!

As a speaker hosting the Champagne Round Tables you will be acting as an mediator during the discussions

What happens when I get to the Conference?

Arrival:
When you arrive at the conference please go to the registration desk and collect your badge. Your badge must be worn at all times. 

Refreshments:
Morning coffee is available before the conference, a lunch is served around midday and there will be a mid afternoon coffee break.

Documentation:
There will be a table where you can obtain a Delegate Pack containing the speaker's presentations. If late presentations are still coming in throughout the conference, there will be a notice of all the late presentations that are currently available. 

Chairman's Guide:
There will be an information pack available from the conference director which will be handed out at least 30 minutes before the presentation starts.

Dress Code:
Business attire is required throughout the conference.


THE LAST & SINGLE MOST IMPORTANT POINT:

Above all, our events are designed to be insightful, informative, topically "second to none"... and most importantly, enjoyable for all who attend.

It is absolutely mandatory that you enjoy the day and the event.
